Treat scheduling as a sequence of constraints
The nearest technician is not always the right technician. A reliable schedule balances customer priority, technical skill, promised windows, technician availability, expected duration, geography, and the likelihood of follow-up work.
Rank the constraints before building the day. Safety, licensing, and customer commitments usually outrank travel distance. Geography then helps choose among technicians who can perform the work.

Start with working hours, planned absences, meetings, and any technician-specific restrictions.

Place fixed commitments
Schedule jobs with contracted times, inspections, or customer constraints before flexible work.

Match skills
Filter assignments by trade, certification, equipment experience, and the need for a second technician.

Cluster by geography
Review nearby work and stop order on a map while preserving priority and promised windows.

Leave recovery time
Avoid filling every minute. Travel variability, diagnostics, customer questions, and emergency work need room.
Estimate job duration honestly
A one-hour slot that routinely takes two hours makes the rest of the schedule fictional. Review recent work by job type and use ranges when diagnosis affects duration. Add setup, access, cleanup, documentation, and customer handoff—not only hands-on repair time.

- Flag jobs with uncertain scope for dispatcher review.
- Account for parts pickup, site access, and permit constraints.
- Compare planned and actual duration by job type during weekly review.
Manage changes from one board
When an urgent request arrives, identify the customer impact of moving each scheduled job before making a change. Update the assignment and status in the shared system first, then communicate any revised expectation to the customer and technician.
Live field status gives dispatchers evidence for the decision. A job marked in progress, completed, or delayed is more useful than a schedule that still shows the morning plan.
Measure schedule quality

- Jobs moved after the customer window was promised
- Planned versus actual duration by job type
- Callbacks or reassignments caused by skill mismatch
- Technician overtime and idle gaps
- Jobs closed without required field records
