Job Completion Signature Workflow Guide

Define a clear field-service closeout process for notes, photos, labor, customer review, completion signatures, and office invoicing.

A signature belongs at the end of a complete record

A customer signature is useful when it confirms a clearly described outcome. It should not replace technician notes, required photos, labor records, or an explanation of unresolved work.

Define completion for each job type before asking technicians to collect signatures. The goal is a consistent handoff from field work to office review—not simply a mark on a screen.

Use a repeatable closeout sequence

    Confirm the work performed

    Record what was inspected, repaired, installed, or deferred in plain language.

    Attach required evidence

    Capture the photos or readings your operation requires and keep them with the job.

    Record labor and materials

    Finish time entries and note information the office needs for review or invoicing.

    Review with the customer

    Explain completed work, limitations, recommendations, and any next step before presenting the signature pad.

    Collect name and signature

    Capture the customer name and signature as acknowledgement of the recorded closeout.

    Mark the job complete

    Move the job into the office's review or invoice-ready workflow.

Write an acknowledgement the customer can understand

Keep the text near the signature short and specific. State what the signature acknowledges, where the detailed work record appears, and whether it authorizes payment or only confirms completion. Have legal counsel review language used for contracts, warranties, waivers, or regulated work.

Do not hide unresolved issues. If additional work, parts, inspection, or customer approval is required, record the exception and use the appropriate status instead of forcing an ordinary completion.

Plan for exceptions

  • Customer is unavailable: record the approved contact method and office follow-up.
  • Customer declines to sign: preserve notes and escalate according to company policy.
  • Work is incomplete: use a pending or follow-up status and identify the reason.
  • Device or connection fails: preserve notes and photos, then complete the approved backup process.
  • Wrong customer name: correct the job record before collecting the signature.

Connect closeout to office review

The office should be able to see the completion record without requesting the same information again. Review exceptions, labor, notes, photos, and the signature before invoicing. Period reports can then help identify jobs that are complete but missing a required record.
